We are seeking an experienced, highly committed, and service-oriented Assistant to support our Head of Reinsurance Accounting (RIA). In this key role, you will act as a trusted partner, ensure the smooth running of day-to-day operations, while contributing to collaboration and operational excellence in an international environment.
You will directly report to the Head of RIA.
Your Job
- Prepare correspondence, presentations, and internal communications in German and English
- Manage and coordinate the Head of Department’s calendar, meetings, and travel arrangements
- Coordinate visits from international colleagues and stakeholders
- Manage travel expense reports via Concur
- Organize and coordinate meetings, workshops, and international team calls
- Coordinate organizational processes as well as large relocation planning
- Maintain and support SharePoint pages and internal collaboration platforms
- Use of the tools Coupa / Pagex / Office 365
- Take ownership of additional administrative and coordination tasks to ensure smooth operations
- Act as deputy for another assistant within the team when required
Your Profile
- Several years of experience working as an Executive assistant or in a comparable administrative role
- Well-versed with the usual IT applications
- Strong communication skills, service oriented mindset and teamwork skills
- Excellent organizational and organizational skills with strong attention to detail
- High level of discretion and professionalism when working with senior stakeholders
- Convincing manner and highly proactive approach paired with the ability to take decisions
- Reliable and solution-oriented working style
- Very good command of German and English, both written and spoken
